Jain Vadhu-Var Parichay Sanstha Pune (“we”, “us”, “the Sanstha”) operates the matrimonial registration platform at jainvadhuvarsansthapune.com and the related installable web app and Android & iOS apps (collectively, the “Service”). This policy explains what personal information we collect about you, how it is used, who it is shared with, and the choices you have. We comply with applicable Indian privacy laws including the Information Technology Act, 2000 and the Sensitive Personal Data or Information Rules, 2011, and apply equivalent protections to users from other regions.
1. Information We Collect
1.1 Information you provide
- Identity & contact: name, gender, date of birth, mobile number, email address, residential and permanent address.
- Identity proofs: Aadhaar number and scan, Passport number and scan, NRI proof if applicable. Identity proof numbers are stored encrypted at rest.
- Personal background: religion (Jain Shwetamber Gujarathi Samaj), sub-community, marital status, divorce or widow/widower details where applicable, differently-abled status, NRI status.
- Education & employment: qualifications, certificates, occupation, employer, income range.
- Family details: father, mother, mama/nana details including names, occupation, photos and contact, plus reference person details.
- Astrological information: rashi, nakshatra, gotra, manglik status, time and place of birth.
- Lifestyle & preferences: dietary preferences, partner expectations, communication preferences.
- Photographs: candidate passport photo, family photos.
- Payment information: Melawa registration payments are processed by Razorpay. We receive transaction identifiers, payer name and date-of-birth snapshot, paid amount and timestamp; we do not store card numbers, UPI handles, CVVs, or netbanking credentials.
1.2 Information collected automatically
- Device & usage: IP address, browser type, operating system, device model, language preference, timestamps, the pages you visit and actions you take.
- Diagnostics: error logs, crash reports, performance metrics, used to keep the Service stable.
- Cookies & local storage: session tokens, draft auto-save state, sidebar collapse state, install-prompt dismissal state.
- Push notification tokens: if you opt in, your browser’s web push endpoint and keys, used solely to deliver notifications you asked for.
1.3 Information from others
If a family member or karyakarta registers on your behalf with your consent, the information they enter is treated as your information. Karyakartas may correct or annotate your record during review.
2. How We Use Your Information
- To create and operate your matrimonial profile and to share it with other registered candidates and their families for matchmaking.
- To allow karyakartas to verify, review, correct, approve, or reject your registration.
- To produce the printed Melawa Book and digital Melawa archive for community use.
- To run Melawa events — including QR-based attendance check-in and round-table introductions.
- To send transactional and event-related emails and, with your consent, push notifications.
- To process Melawa registration payments and issue refunds where applicable.
- To detect and prevent fraud, abuse, and misuse of the Service.
- To comply with legal obligations and respond to lawful requests.
3. Sensitive Personal Data
Some information you provide is sensitive (religion, caste sub-community, family details, identity-document numbers, photos, financial data). You provide this information voluntarily for matrimonial matchmaking purposes. We process it only with your consent, restrict access on a need-to-know basis, encrypt identity-document numbers at rest, and require karyakartas to sign confidentiality undertakings before they review profiles.
4. Sharing & Disclosure
- Other registered candidates: after your profile is approved, the non-sensitive parts (name, photo, education, family background, partner expectations) are visible to other approved candidates within the Sanstha for matchmaking. Identity proof numbers and scans are never shown to other candidates.
- Karyakartas and the Sanstha’s administrators: have access to your full profile to facilitate review, approval, refunds, and event management.
- Service providers: Razorpay (payment processing), Hostinger (web hosting), email and SMS gateways, push-notification infrastructure. Each processes data only on our instructions.
- Legal & safety: we may disclose data if required by law, by a court order, or to protect the rights, safety, or property of the Sanstha or any user.
- We do not sell your personal information.
5. Data Retention
We retain your information for as long as your account is active. If you delete your account or your registration is rejected, we delete your active records typically within 30 days. Encrypted backups are purged within an additional 30 days. Some data may be retained longer where required by law (for example payment receipts retained under tax / GST regulations, fraud-prevention logs, and Karyakarta activity logs for audit purposes).
6. Your Rights
- Access & correction: view and update most fields from My Profile after approval; request correction of others by contacting your assigned Karyakarta.
- Deletion: request permanent deletion at any time using our public form at https://www.jainvadhuvarsansthapune.com/delete-account.
- Withdraw consent: turn off push notifications from My Profile → Notifications; withdraw consent for further processing by deleting your account.
- Portability: request a copy of your personal data in a machine-readable format by emailing us.
- Complaint: raise concerns with our Grievance Officer (Section 11) or the relevant data-protection authority.
7. Children
The Service is intended for adults of legal marriageable age under Indian law (above 18 years for women and above 21 years for men). We do not knowingly collect data from anyone below 18. If we learn that we have collected information from a minor, we will delete it promptly.
8. Security
We use HTTPS for all traffic, hash and salt passwords (bcrypt), encrypt identity-document numbers at rest, restrict admin access via role-based access control, log all sensitive actions to an activity log, and run regular backups. No method of transmission or storage is 100% secure; we cannot guarantee absolute security but commit to notifying affected users without undue delay if a breach affecting their personal information occurs.
9. International Transfers
Our servers are hosted in India. If you access the Service from outside India, your information will be transferred to and processed in India. By using the Service you consent to this transfer.
10. Regional Compliance Snapshot
- India: Information Technology Act, 2000 and SPDI Rules, 2011.
- EU/UK: GDPR / UK GDPR — legal basis is consent for sensitive data and contract performance for matchmaking services.
- USA: CCPA/CPRA for California residents.
- Canada: PIPEDA.
- Australia: Privacy Act 1988.
